Rent Detective is a rental listing and tenant screening platform that connects landlords with prospective tenants in Canada. We facilitate soft credit checks through Equifax Canada on behalf of landlords, with the explicit consent of tenants.
We may collect the following categories of personal information:
- Identity Information: Full name, date of birth, government-issued identification documents (e.g., driver's licence, passport, provincial ID) and proof of property ownership collected from landlords for identity verification (KYC) purposes only
- Contact Information: Email address, phone number, mailing address
- Employment Information: Employer name, job title, annual income, employment duration
- Rental History: Previous addresses, prior landlord references
- Financial Information: Credit history and credit score obtained via a soft credit inquiry through Equifax
- Application Data: Rental application forms, uploaded documents, e-signatures
- Platform Usage Data: IP address, browser type, pages visited, session data
We collect personal information for the following purposes:
- To facilitate rental applications between tenants and landlords
- To perform soft credit inquiries through Equifax on behalf of landlords, with your explicit consent
- To verify the identity and legitimacy of landlords on our platform
- To provide you with listing alerts, appointment scheduling, and communication tools
- To comply with legal obligations under PIPEDA and FCRA
- To improve our platform and services
Important: A soft credit inquiry does not affect your credit score. Only you and Rent Detective can see that a soft inquiry was made — it will not appear on credit checks viewed by other lenders.
Rent Detective works with Equifax Canada Co. to perform soft credit inquiries as part of the rental application process. The following applies:
- A credit check will only be initiated after you have provided explicit written consent via our application form, including a digital signature and checkbox acknowledgment.
- Credit data obtained from Equifax is used solely to assist landlords in evaluating rental applications.
- Credit data is not sold to any third parties.
- Credit report data is retained for a maximum of 90 days, after which it is permanently deleted from our systems.
- You have the right to dispute information in your credit report directly with Equifax at www.consumer.equifax.ca.
We do not sell your personal information. We may share your information with:
- Landlords on our platform — only the specific landlord(s) you apply to, and only the information included in your submitted application
- Equifax Canada Co. — solely to perform the soft credit inquiry you consented to
- Service Providers — third-party providers who assist us in operating our platform (e.g., email services, cloud hosting), bound by confidentiality agreements
- Legal Authorities — if required by law, court order, or to protect the rights and safety of our users

After the retention period, data is permanently and securely deleted from our systems.

If a landlord declines your rental application based in whole or in part on information obtained from a credit report, you are entitled to receive an Adverse Action Notice. This notice will include:
- The fact that a credit report was used in the decision
- The name and contact information of the credit bureau (Equifax) that provided the report
- A statement of your right to obtain a free copy of your credit report from Equifax
- A statement of your right to dispute inaccurate information with Equifax
Adverse Action Notices are sent via email to the address provided in your application within 5 business days of a declined application decision.
We implement industry-standard security measures to protect your personal information, including:
- Encryption at Rest: All stored data is encrypted using AES-256 encryption. This expressly includes government-issued identity documents and proof-of-ownership files submitted by landlords for KYC verification — these files are used solely for identity verification, are accessible only to authorized Rent Detective administrators, and are never shared with third parties or used for any other purpose.
- Encryption in Transit: All data transmitted between your browser and our servers is protected using TLS/SSL
- Access Controls: Access to sensitive data is restricted on a strict need-to-know basis
- Security Audits: Our platform undergoes regular security reviews and penetration testing
- Breach Notification: In the event of a data breach affecting your personal information, we will notify you and the applicable authorities within the timeframes required by law (72 hours under PIPEDA)
We use cookies and similar tracking technologies to improve your experience on our platform. These include session cookies (essential for the platform to function) and analytics cookies (to understand how users interact with the platform).
